St Finn Barr’s Catholic School is seeking a highly organised, proactive and professional Executive Assistant & WHS Coordinator to join our dedicated team. This key position provides high‑level executive support to the Principal and Leadership Team while coordinating the school’s Work Health and Safety systems to ensure a safe, welcoming and well‑managed learning environment.
The successful applicant will support the Catholic Identity and Evangelising Mission of the school and work collaboratively with School leadership, staff, students, and the broader school community.
About the Role
The Executive Assistant & WHS Coordinator plays a central role in the smooth and effective daily operation of the school. Working with a high degree of autonomy, the position provides executive support, oversees administrative processes, coordinates compliance requirements, and contributes to the positive culture of our school community.
The successful applicant will demonstrate professionalism, discretion, initiative and a commitment to supporting the Catholic Identity and mission of St Finn Barr’s Catholic School.
Key Responsibilities include:
- Provide high‑level executive assistance to the Principal and Leadership Team.
- Coordinate daily school operations, meetings, agendas, minutes and follow‑up actions.
- Support recruitment, onboarding, employment checks and staff records.
- Coordinate office resources, equipment and supplies.
- Oversee customer service standards in the school office.
- Respond to complex enquiries with professionalism and confidentiality.
- Coordinate the school’s WHS systems, compliance processes and documentation.
- Maintain WHS registers, risk assessments and incident reporting.
- Support emergency management procedures, drills and compliance activities.
Required Skills, Experience and Attributes
We are seeking a candidate who demonstrates:
- Experience in administration, executive support or office coordination.
- Strong customer service and reception experience.
- Experience in WHS administration
- Exceptional organisation, time‑management and attention to detail.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively in a busy environment.
- Ability to manage competing priorities calmly and effectively.
Qualifications
Required:
- Registration to Work with Vulnerable People.
- Current National Police Criminal History Check.
- Accreditation A (or willingness to obtain).
Desirable:
- Certificate IV in Business, Business Administration, WHS or related field.
- Current First Aid qualification.
- Current Tasmanian drivers licence.
